Setup my E-mail

The TranSoft Labs internet E-mail servers are now configured as part of a large redundant server cluster with multiple high speed data connections in multiple geographic locations.  This provides TranSoft Labs customers with the most reliable internet e-mail service available.  You should be able to find a solution to any problem you are experiencing below.

Web mail Access

Now that all email is hosted on new cloud servers, just use this link to access the web mail system: https://apps.rackspace.com.  This web mail application is quite agile and might be all you need to access your email, calendar, task list etc.  It has the advantage of not needing any setup on your PC so you can access it from any PC that has internet access.  You only need your user name and password.  Your email user name will usually be your complete primary email address.  If you do not know your password, please call and I will reset your password.

PC Client Access

For instructions for specific programs click here.

Here are the general values you will need for any client:

  • User name: This is your primary email address.
  • Password: Initially provided to you or you may have changed it with the web mail access above.
  • Incoming mail server: secure.emailsrvr.com
  • Outgoing mail server: secure.emailsrvr.com
  • Use SSL for both incoming and outgoing mail
  • SMTP port: 465
  • POP3 port: 995
  • IMAP port: 993
  • Make sure the setting for your outgoing email security uses the same settings as your incoming mail.

 POP3 Vs IMAP

With today’s email servers and high speed internet, IMAP in most cases makes more sense than POP3. I will discuss some of the differences and what they mean.

  • POP3 – Simple to setup and troubleshoot. Since all email is stored on your local PC, it is faster. Backups are more complex since your email client locks the associated files and each different client stores the information in different places.
  • IMAP – A little more complex to setup and more client side issues to be aware of. Working off line is possible but it is better to be on the internet when reading, deleting or composing new email. Local backups are not needed since all email, calendar, and contact info is stored and updated on the server. It can be slower to open email since it may need to be downloaded from the server on each access. Since it is stored on the server, there will be a limit on how much email you can save. This is on average, about 10 to 20 thousand emails so is not usually a problem. Since it is all stored on the server, you can access it via your local client, web, or smart phone and all devices will be synchronized. Sent mail can be seen on all devices not just the PC you sent it from.
